Supporter-led events that benefit Hollow Oak

Friends of Hollow Oak Fundraising includes any event or activity organized by supporters — not by Hollow Oak staff — that benefits Hollow Oak Land Trust. These events are planned and run by you, financially independent from Hollow Oak, and supported by us through guidance and basic tools.

What we can — and can't — do

Hollow Oak CAN

  • Offer advice and guidance during planning
  • Provide a letter of authorization for approved events
  • Share basic materials (brochures, flyers) when available
  • Approve the use of our name and logo
  • Provide tax-deduction guidance

Hollow Oak CANNOT

  • Guarantee staff or volunteer attendance
  • Share donor lists or contacts
  • Cover expenses, permits, or required insurance

Four steps to get approved

01 Submit your application

At least 30 days before your event.

02 We review your request

Usually within 5–10 business days.

03 Approval

If approved, you receive: Authorization letter, branding toolkit access, and event guidelines.

04 Promote, host, celebrate

Send proceeds to Hollow Oak within 30 days.

Branding & Promotion

Branding Toolkit

Once approved, you’ll receive access to our branding toolkit, including:

  • Hollow Oak Land Trust logo files
  • Color palette, fonts, and style guidance
  • Sample flyers, social posts, and posters
  • Language examples for “benefiting Hollow Oak Land Trust”

All events must clearly state they are “benefiting Hollow Oak Land Trust” — never “hosted by” or “sponsored by” Hollow Oak.

Important Rules

  • All materials using our name or logo must be approved before use
  • Logo use is allowed only for approved events
  • Materials must clearly state what portion of proceeds benefits Hollow Oak
  • Logo use must stop within one week after your event, except for social media posts made before the event ends

Event Costs & Responsibility

You own the planning and the costs

Hollow Oak does not cover costs, provide insurance, or apply for permits. As the organizer, you are responsible for:

  • All planning and logistics
  • All expenses
  • Permits, licenses, and required insurance
  • Safety and liability

Sending proceeds & tax deductibility

  • Only net proceeds are sent to Hollow Oak
  • Funds must be sent within 30 days of your event, with a summary of income and expenses
  • Only checks made payable directly to Hollow Oak Land Trust are tax-deductible
  • If donors pay you or your event account, their gift is not tax-deductible
  • Don’t use the word “donation” unless the gross funds go directly to Hollow Oak

What We Cannot Support

We do not approve events that conflict with conservation values, political or candidate-related events, commission-based fundraising, or direct canvassing and telemarketing.

How long does approval take?
Usually within 5 to 10 business days.
Can Hollow Oak plan my event?
We can advise, but you manage the event.
Can I use your tax-exempt number?
No. Since Hollow Oak is not hosting the event, you cannot use our tax ID.
Will donors get receipts?
Only if their check is made directly to Hollow Oak.
Can you insure my event?
No — insurance is the organizer’s responsibility.
